Key Skill Sets For Word Processing

The following overview relates to key skills that have been assessed on past IT exams and are commonly used in day to day life and academia. Please note that this overview is specific to Microsoft Word; however, the concepts covered here are transferable and can be applied to other word processors such as “Pages” or “Open Office”. Although the process may be slightly different depending on the program that you are using but the underlying concepts remain the same.

Standard Text Formatting
标准式的文本格式

The international standard for text in word documents in Western Universities is “Time New Roman” 12Pt. font. Text in a document should be 12pt. unless it is a title.

在西方大学里所使用的word文档的国际标准文本字体是“Time New Roman”,大小为12磅。除标题外,文档中的文本应该是12磅。

View > Insert > Header Footer
视图 >  插入 > 页眉页脚

A “Header” is at the very top of every page in your document. Typically the header will included your name. The purpose of a header is to allow a teacher to know which project a missing page belongs to. A “Header” is required on every report in Western Universities.

“页眉”位于文档页面的顶端。通常情况下页眉包括你的姓名。若一页面丢失老师可通过页眉找到该丢失页面属于哪一项作业。在西方大学每一份报告都要求有“页眉”。

A “Footer” is at the bottom of every page. This is a spot to add additional information which is important. This could be the “School Name”, “Project Name”, or “Page Numbers”.

“页脚”位于页面的底端。页脚是用来添加重要 的信息,包括“学校名称”,“项目名称”或“页码”。

Insert > Auto Page Numbering

Auto page numbering allows you to insert a page number which will automatically update based on its location in the document. Auto page numbers are typically located in the project footer.

自动输入页码可根据其在文档中的位置自动地更新页码。通常情况下自动输入页码位于页脚。

Format > Paragraph > Spacing
格式 > 段落 > 行间距

Line spacing is an important feature in a word processor such as “Microsoft Word” or “Pages” for Mac. Many universities will ask for a specific line spacing for documents that are submitted. Regular spacing does not have space for corrections. Often Universities will ask for Doubled Space. This can be done automatically by the computer.

行间距是文字处理器如“Microsoft Word”或苹果系统中的“Pages”中重要的一个特征.许多大学都要求所提交上来的文档需要有特定的行间距。普通的行间距是没有给修改留出空隙的。大学通常要求双倍行间距,可以使用电脑自动完成。

Format > Paragraph > Indent
格式 > 段落 >缩进

Indents allow you to change the location on a page where the text starts and stops for each line. Indents can be set for both the right and left sides of a page. This paragraph is an example that uses both left and right indents.

缩进可用来修改文本的起始处和结尾处。缩进可从左右两边进行修改。就像本段落就是一个缩进的例子,并从左右两边缩进。

Format > Columns
格式>分栏

Columns can be used to make it easier for a reader in large documents. By creating columns a reader is less likely to lose their spot on a page when reading. Columns can also be used to make a document more esthetically pleasing / (pretty).

在大型的文档中可使用“分栏”让读者更加容易理解,当读者在阅读时不易丢失信息点。而且分栏也增加文档的美观。

The orientation of a page can be changed from Portrait (Vertical or Tall) to Landscape (Horizontal or Wide).

页面方向可从竖直方向(垂直或高)改变成水平方向(水平或宽)。

The default page orientation for Word documents is Portrait. This is a vertical page, and in Asia A4 Paper is the default paper size used. In North America “Letter” is the standard paper size used. “Letter” and “A4” are almost identical in size. Letter sized paper is 8.5×11 Inches and A4 210x297mm.

Formatting a Photo
格式化照片

Using your computer mouse “Right Click” on the picture. A menu will appear. From this menu select format picture.

用鼠标“右击”图片,会出现一个菜单,从这个菜单中选择“设置图片格式”。

“Text Wrap” options allow the words in your document to interact with your photo in several different ways. Text could overlap the photo, surround the photo, and follow the edge of the photo if its an odd shape. 

Look at the example to the left. Which setting do you think was used ?

“文字环绕”选项可将文本和图片进行几种不同的处理方式,有嵌入型,四周型,衬于文字下方,衬于文字上方。

看左边图例,这属于哪一种方式?

Microsoft Word Art allows the user to create decorative titles for their documents easily by selecting various Word Art Themes. The user types the title they want and the program creates the custom title.

Microsoft 艺术字有多种艺术字的主题供用者选择为其文档制作合适的装饰标题,用者只要打出其所想要的标题程序会创建一个自定义的标题。

Insert > Table
“插入”>“表格”

Allows the user to create a table in Microsoft Word similar to that of an Excel Table. The user can select how many Columns and Rows are needed.

允许用户在 Microsoft Word 文档中创建一个表,类似于Excel表格。用户可根据需要选择行数和列数。

Format > Boarders & Shading
格式 > 边框和底纹

Allows the user to change the line style such as “Solid Line”,  “Dashed Line”, or “Double Lined options”.  Color, and thickness can also be changed. The lines on the perimeter, as well as the vertical and horizontal lines can all be set differently.

允许用户更改线条样式,如“实线”,“虚线”,或“双线选项”,也可以改变颜色和厚度。线的周长,垂直线和水平线也都可以更改。

The background color of the “Cells”, “Rows” and “Columns” can also be changed as well, this is called “Shading”.

“单元格”,“行”和“列”的背景颜色也可以改变,也就是所谓的“底纹”。

Table > Sort
表格  >排序

Allows the user to sort the contents of the table by “Ascending” or “Descending” order.

允许用户通过“升序”或“降序”命令排序表的内容。

Table > Formula
表格 > 公式

Allows the user to create formulas in the table. Formulas will automatically calculate the answer to the equation based on the “Cells” that are referenced in the equation.

允许用户在表格中创建公式。在“单元格”所设定的方程式的基础上公式会自动计算出答案。

Simple Formulas 简单的公式

Addition加法=SUM(CELL + CELL)
Subtraction减法=SUM(CELL – CELL)
Addition (List of Numbers)加法(数列)=SUM(First CELL : Last CELL)
Multiplication乘法=(CELL * Cell)
Division除法=(CELL / CELL)
Average平均数=AVERAGE(First CELL : Last CELL)
